It takes 6.8 seconds to connect a salesperson with a prospect over the phone and milliseconds to deliver the message online. The average speed of a data packet is 124,300 miles per second, which means your email goes around the Earth five times before you even lift your finger from the “send” button. The sales process is all about correctly using those milliseconds, seconds and days to reach potential customers. However, even now, with such powerful tools available to all marketers, one thing is still not clear: when is the best time to send emails to your prospects? When searching for the answer to this fundamental question, Google offers more than four billion search results. Very confusing, right? SDRs have been sending thousands of emails daily for over six years. Over these years, we have developed a deep understanding of how cold email works and how to use this channel appropriately. Now, we’ve decided to put that knowledge into numbers and share it with you in our new study on the best time to send a cold email. Most of the studies dedicated to this topic define the best time to send an email based on the open rate. However, an email open does not indicate the success of the email campaign, conversions do. The prospect may not even skim the email before closing it, or even read its content. For more accurate information on the best time to send emails that convert to closed sales, choose a different approach based on response rate instead of open rate. Sample and survey findings Data from emails sent was collected during the period of January 1, 2021 to May 25, 2021. Data Labs analyzed six million lines of information to calculate the length of time before receiving the response and 600,000 lines (indicating the recipient’s time zone) for the best time to send emails and get a response in hours and days. 1. What is the best time of day to send an email? According to our data, 20% of all answered emails were sent at 8am. m., making it the best time of day to send a cold email. Other good times were 5 am (13%) and 9 am (12%). This early response preference for email reach suggests that sending emails early in the morning ensures they’ll be at the top of the inbox at the start of the workday. Any other period of time between 4 a.m. and 5 p.m. m. and 12 p.m. m. it also shows moderately good results at the level of email responses. The trend line starts to decline steadily from 1 p.m. and it keeps going down until very early (3am). When planning your sales program for the day, email outreach should be the top priority in the morning. Sending even the most brilliant email after lunch risks being ignored by the prospect. If for some reason morning contact is not an option, consider using automation tools to set the exact time to send cold emails. 2. What is the best time of day to expect an email response? It’s quite curious that when it comes to potential customer responses to your emails, there is no obvious trend line from past data. Recipients are inconsistent about exactly when to send their responses. Some prefer to do it when they read the mail (from 5:00 am to 8:00 am), while others choose to wait until the start of the work day (9:00 am). There is also a large increase in email responses sent after the lunch break (2pm). After this spike, there is only a small cumulative percentage of emails answered by the end of the business day. The data suggests that potential customers opt to attend to the majority of emails during the first half of the day. 3. What is the best time of the week to send an email? Based on the bar chart above, the best day of the week to send an email is Wednesday (23%), while the worst (excluding weekends) is Monday (16%). Chances are, Mondays are already overloaded with updates from within the office, and Wednesdays will give your prospects free time to go through not-so-urgent emails. In general, the trend line for this data is a bell-shaped curve that rises steadily at the start of the work week, peaks in the middle of the week, declines closer to the end, and breaks off sharply as the week progresses. weekend. . 4. What is the best time of the week to expect an email response? According to our research, potential customers prefer to respond to emails in the middle of the week, specifically on Wednesdays (23%), which means more time to respond and catch up in the middle of the week. Not surprisingly, the fewest responses occur on Fridays (17%) when people go away for the weekend. 5. How many hours does it take to receive a response? Regarding time to response, 19% of all email responses are received within the first hour of sending the email; 77% of them are answered within the first twelve hours. The more time that passes after sending the email, the less chance there is of receiving a response. The email response rate within the second hour after sending is 15%; in the fourth hour — 9%. Only 2.6% of email responses are received within eight hours of sending. If your email goes unnoticed for the first 12 hours, the chances that the prospect will contact you at any time are extremely low – no more than 1.1%. The data reveals that if you want your email answered, make sure your recipient responds right away by including a clear and precise call-to-action message. 6. How many days does it take to receive a response? Our research shows that 87% of all emails are responded to on the first day, followed by only 5.5% of responses on the second day. 99.5% of all responses are received within seven days of sending the email. The chart above should be great advice on how to create a follow-up schedule strategy for your team. As you can see, there is no reason to wait more than three days before sending the first follow-up message. Link this information to your best practices and significantly increase your response rate. Key takeaways from the study Timing is the key to achieving high conversions, ROI and increased revenue.
